How NextVisitHQ fills a visit

Submit, blast, lock, plot, close — or widen, repost, cancel if the clock runs out.

    Staffer submits a fill

    A scheduler posts an open visit — discipline, visit type, area, window, and a patient tag. Coverage (same-day cancel or call-out) uses the same loop with type set to coverage.

  2. 02

    Matching clinicians are blasted

    Active clinicians on the agency’s own roster who match discipline and area receive an SMS. The text shows a patient tag only. Job ID stays internal on the desk — it is never on the blast. Address, instructions, and other winner details are not included.

  3. 03

    First YES locks and pages staff

    The first clinician to reply YES claims the visit. The ticket locks. The winner gets a confirmation (a secure details link comes later). The staffer / escalation contact is paged that the visit is locked. Later YES replies are told it is already filled. NO declines that job only.

  4. 04

    Staffer plots the visit in the EMR

    Your office still owns scheduling. After lock, staff plot the visit in the agency EMR and talk to the nurse as they already do. NextVisitHQ does not write back to the clinical system.

  5. 05

    DONE closes the ticket

    When the visit is on the books, the staffer sends DONE (with the patient tag if several jobs are open). The ticket moves to Done. That is the close-out — not the SMS blast.

  6. 06

    Timeouts: WIDEN, REPOST, or CANCEL

    If nobody claims in time, the desk gets a timed-out notice. Staff can WIDEN the pool, REPOST the same blast, or CANCEL the ticket. Quiet hours default to 9:00 p.m. – 7:00 a.m. Pacific for job blasts.
